Entry Requirements

Candidates should have-
(a) a Bachelor degree in History, Political Science, Public Administration, Information Management and Library Studies, Archives and Records Management, or equivalent, from a Hong Kong university, or equivalent [Note (1)];
(b) 2 years’ post-graduate research, study or training in History, Political Science, Public Administration, Information Management and Library Studies, Archives and Records Management, or equivalent [Note (1)]; and
(c) met the language proficiency requirements of “Level 2” results in the two language papers (Use of Chinese and Use of English) in the Common Recruitment Examination (CRE), or equivalent [Note (2) to (5)].

(1) Candidates should state clearly in their applications -
(i) the major subject(s) of the bachelor degree; and
(ii) the firm/institution, duration, position held and nature in respect of the post-graduate research, study or training.
(2) Candidates’ results in the Use of Chinese (UC) and Use of English (UE) papers of the CRE are classified as Level 2, Level 1 or Fail, with Level 2 being the highest.
(3) Level 5 or above in Chinese Language of the Hong Kong Diploma of Secondary Education Examination (HKDSEE) is accepted as equivalent to Level 2 in the UC paper of the CRE. Level 5 or above in English Language of the HKDSEE is accepted as equivalent to Level 2 in the UE paper of the CRE.
(4) Grade C or above in Chinese Language and Culture or Chinese Language and Literature of the Hong Kong Advanced Level Examination (HKALE) is accepted as equivalent to Level 2 in the UC paper of the CRE. Grade C or above in Use of English of the HKALE or English Language of the General Certificate of Education (Advanced Level) is accepted as equivalent to Level 2 in the UE paper of the CRE.
(5) An overall band of 6.5 or above with no subtest score below band 6 obtained in the same sitting in the Academic Module of the International English Language Testing System (IELTS) within the two-year validity period of the test is accepted as equivalent to Level 2 in the UE paper of the CRE. The IELTS test result must be valid on any date during the application period (i.e. from 19 June to 2 July 2020).
(6) For the purpose of heightening public awareness of the Basic Law (BL) and promoting a culture of learning of BL in the community, applicants for civil service jobs will be assessed on their BL knowledge. The BL test result will constitute an appropriate weighting in a candidate’s overall assessment.

An Assistant Archivist is mainly deployed on:-
(a) assisting in archives and records management, including acquisition, appraisal, description and accessioning, records scheduling, disposal, research and development;
(b) promoting public appreciation of and access to records; and
(c) assisting in processing requests for access to archives.

Terms of Appointment

A new appointee will normally be appointed on civil service probationary terms for three years. Upon passage of probation bar, he/she may be considered for appointment on the prevailing permanent terms.

Salary and Fringe Benefits

Master Pay Scale Point 16 (HK$33,350 per month) to Master Pay Scale Point 27 (HK$55,995 per month)

General Notes

(a) Candidates must be permanent residents of the Hong Kong Special Administrative Region at the time of appointment unless specified otherwise.

(h) It is Government policy to place people with a disability in appropriate jobs wherever possible. (i) Holders of academic qualifications other than those obtained from Hong Kong institutions/Hong Kong Examinations and Assessment Authority may also apply but their qualifications will be subject to assessments on equivalence with the required entry qualifications. They should submit copies of their official transcripts and certificates stating the mode of delivery (e.g. full-time/part-time, on campus/distance learning, etc.) of the study programmes. To facilitate assessment of qualifications, the documents on any prior qualifications obtained should also be supplied as far as possible. Do not send any originals of certificates. Those who apply on-line should submit copies of their official transcripts and certificates by post to the enquiry address and quote the online application number on the envelope and the copies of every page of supporting documents.
(j) Towards the application deadline, our on-line system would likely be overloaded due to large volume of applications. To ensure timely completion of your on-line application, it is advisable to submit the application as early as possible.

How to apply

Application forms [G.F.340 (Rev. 3/2013)] are obtainable from any Home Affairs Enquiry Centres of District Offices, Home Affairs Department or any Job Centres of the Employment Services Division, Labour Department. The said form can also be downloaded from the Civil Service Bureau's website (http://www.csb.gov.hk). Application forms and supporting documents should be submitted via one of the following means –

(a) by post to the Personnel Office, Administration Wing, Chief Secretary for Administration’s Office, Room 2561, 25/F, Central Government Offices, 2 Tim Mei Avenue, Tamar, Hong Kong, with the envelope clearly marked “Application for the post of Assistant Archivist” (the postmark date on the envelope will be regarded as the date of submission of application). To avoid delayed or unsuccessful delivery of applications by post, please ensure that the correct address is clearly printed or written on the envelope and sufficient postage has been affixed before posting. Mail items bearing insufficient postage will not be delivered to this Office and will be returned to the sender or disposed of by the Hongkong Post, where appropriate. Applicants will bear any consequences arising from paying insufficient postage;
(b) by hand to the application drop-in box of Administration Wing located at the Staff Entrance, 2/F., East Wing, Central Government Offices, 2 Tim Mei Avenue, Tamar, Hong Kong, with the envelope clearly marked “Application for the post of Assistant Archivist”. The drop-in box is available from 8:00 a.m. to 7:00 p.m. from Monday to Friday (except public holidays) and up till 5:00 p.m. on the closing date of application (i.e. 2 July 2020); or
(c) through on-line facilities on the Civil Service Bureau homepage at www.csb.gov.hk. Candidates who applied online should submit copies of supporting documents (viz. certificates, academic transcripts of studies and employment proof) within one week after the closing of application, to the enquiry address and the online application number should be quoted on the envelope and the copies of all supporting documents.

Applications which are incomplete, late or submitted by fax or email, or not made in the prescribed form, or without the required supporting documents will not be considered.

Candidates who are selected for interview will normally receive an invitation in about eight to ten weeks from the closing date for application. Those who are not invited for interview may assume that their applications are unsuccessful.
