Entry Requirements

(a) a bachelor degree from a Hong Kong university, or equivalent;
(b)‘Level 3’ or above in Chinese Language and English Language in the Hong Kong Diploma of Secondary Education Examination (HKDSEE) or the Hong Kong Certificate of Education Examination (HKCEE) [Note], or equivalent ;
(c) good command of spoken and written English and Chinese;
(d) 1 year of relevant working experience; and
(e) good knowledge of computer applications including MS Excel, Word and Power Point.
Remarks
For non-civil service appointment purpose, ‘Grade C’ in Chinese Language and English Language (Syllabus B) in previous HKCEE are accepted administratively as comparable to ‘Level 3’ in Chinese Language and English Language in the 2007 HKCEE and henceforth.
 

Duties

(a) to provide executive support to senior officers;
(b) to handle office administration, record management and accommodation matters;
(c) to discharge HR functions such as personnel management and staffing proposals;
(d) to provide logistic support for meetings/briefings and to take notes; and
(e) to supervise clerical and other junior staff in the office
Note: May be required to work overtime.

Terms of Appointment

Successful candidates will be appointed on non-civil service contract terms for a period of 1 year.

Salary and Fringe Benefits

HK$23,430 per month
(a) A gratuity may be granted upon satisfactory completion of the full contract period with consistently high standard of performance and conduct. Such gratuity, plus any contribution made by the Government to an MPF Scheme in respect of the appointee as required by the MPF Schemes Ordinances, will be equal to 15% of the total basic salary drawn during the contract period.
(b) Rest days, statutory holidays, annual leave, maternity leave or paternity leave, sickness allowance, where appropriate, will be granted on terms no less favourable than the provisions of the Employment Ordinance.

General Notes

(a) Candidates must be permanent residents of the Hong Kong Special Administrative Region at the time of appointment unless specified otherwise.

If a disabled candidate meets the entry requirements, he/she will be invited to attend the selection interview/written examination without being subject to any further shortlisting criteria. (g) Holders of academic qualifications other than those obtained from Hong Kong institutions/Hong Kong Examinations and Assessment Authority may also apply but their qualifications will be subject to assessments on equivalence with the required entry qualifications. They should submit copies of their official transcripts and certificates by mail to the above enquiry address.

How to apply

(a) Application Forms (G.F. 340 (Rev. 3/2013)) are obtainable from any Home Affairs Enquiry Centres of District Offices, Home Affairs Department or any Job Centres of the Employment Service Division, Labour Department. The said form can also be downloaded from the Civil Service Bureau’s website (http://www.csb.gov.hk).
(b) Completed application forms, together with photocopies of relevant certificates and transcripts in support of academic qualifications and proof of documents of working experience, should reach the enquiry address indicated on or before the closing date for application with the envelope clearly marked 'Application for the post of Executive Assistant'.
(c) Online application can be made through the Civil Service Bureau's website (http://www.csb.gov.hk). Candidates who apply online should submit copies of their certificates and transcripts in support of academic qualifications and proof of documents of working experience within one week after close of application period to the enquiry address, and the online application number should be quoted on the envelope and the copies of supporting documents.
(d) If candidates fail to provide the supporting documents as requested, their applications will not be considered. Applications which are incomplete, late or not duly signed will also not be accepted. This department will not accept any unpaid or underpaid mail items. Please ensure your mail items bear sufficient postage before posting. Any mail items bearing insufficient postage will be returned or disposed of by the Hongkong Post.
(e) Candidates who are selected for interview will normally receive an invitation in about six to eight weeks from the closing date for application. This period may be longer in exceptional circumstances, e.g. when a large number of applications are received or when there are other complications. Invitations may be issued by email. Applicants are encouraged to provide their email address properly in the application form. Those who are not invited for interview may assume that their applications are unsuccessful.
